What Is ATS and Why Does It Matter?
An Applicant Tracking System (ATS) is software used by most medium and large employers to automatically screen resumes before a human recruiter ever reads them. According to research from Harvard Business School, 75% of resumes are rejected by ATS before reaching a hiring manager.
This means your resume needs to be optimised for two audiences simultaneously: the algorithm and the human. The good news is that the practices that help you pass ATS also make your resume clearer and stronger for human readers.
Choose the Right Resume Format
For most professionals, the reverse-chronological format is the most ATS-compatible and the most preferred by hiring managers. Use a functional or combination format only if you are making a significant career change or have major employment gaps.
ATS-Friendly Formatting Rules
What to DO:
- Use standard, clean fonts: Arial, Calibri, Georgia, or Times New Roman (11–12pt)
- Use standard section headings: "Work Experience", "Education", "Skills", "Certifications"
- Submit as .docx or PDF — check the job posting for preference
- Use a single-column layout with clear white space
- Spell out abbreviations at least once (e.g., "Search Engine Optimisation (SEO)")
- Use standard bullet points (•) rather than custom symbols or checkboxes
What to AVOID:
- Tables, text boxes, or multi-column layouts
- Headers or footers containing important contact information
- Images, logos, or photo inserts anywhere in the document
- Fancy fonts, decorative elements, or coloured backgrounds
- Skill-level graphics (bar charts, stars, or progress bars)
- Saving as .pages, .odt, or other non-standard formats
The Keyword Strategy That Actually Works
ATS software scans your resume for keywords that match the job description. Here is a proven process to get this right:
- Copy the full job description into a text document
- Highlight every skill, qualification, and responsibility mentioned
- Identify the keywords that appear multiple times — those are the highest priority
- Incorporate those exact keywords naturally into your resume
- Include both acronyms and full forms where relevant (e.g., "Project Management Professional (PMP)")
Important: Only include keywords you genuinely possess. ATS keyword stuffing is easy to spot in interviews and damages your credibility immediately.
Writing Achievement-Based Bullet Points
Once your resume passes ATS, it needs to impress a human reader in under 10 seconds. The most effective way to do this is by replacing duty descriptions with achievement statements.
The Formula:
Action verb + What you did + Measurable result
Before vs After:
| ❌ Duty-Based (Weak) | ✅ Achievement-Based (Strong) |
|---|---|
| Responsible for managing social media accounts | Grew LinkedIn audience from 1,200 to 9,400 followers in 10 months, increasing inbound enquiries by 38% |
| Helped improve customer satisfaction | Redesigned complaint handling process, raising NPS score from 41 to 74 within one quarter |
| Worked on team projects | Coordinated a cross-functional team of 7 to deliver a PKR 5M infrastructure project 3 weeks ahead of schedule |
Essential Sections for a 2026 Resume
Professional Summary (3–4 sentences)
Your summary replaces the outdated "Objective Statement". It answers: who are you, what is your strongest value, and why are you the right fit for this specific role? Tailor this for every application.
Work Experience
List roles from most recent to oldest. For each role: Job Title, Company, Location, Dates, then 3–5 achievement bullet points.
Skills Section
Include both hard skills (software, languages, certifications) and soft skills (relevant ones with context). In 2026, specifically include any AI tools you are proficient with.
Education
Degree, institution, graduation year. Include GPA only if above 3.5/4.0. List certifications here or in a separate section.
Pakistan-Specific Resume Considerations
If you are applying for jobs in Pakistan, UAE, Saudi Arabia, or other Gulf markets:
- Photo: A professional headshot is standard and expected in these markets
- Father's name and CNIC: Some Pakistani employers request this — include only when explicitly asked
- References: "References available upon request" is acceptable — do not include referee contact details proactively
- Nationality & Visa Status: Include if you already have work rights in the target country
Common Resume Mistakes That Cost You Interviews
- Typos or grammatical errors (even one can end a candidacy)
- One generic resume for all applications
- Too long — most professionals need one page; two maximum for 10+ years experience
- Unprofessional email address (create firstname.lastname@gmail.com)
- No LinkedIn URL or an incomplete LinkedIn profile
- Inconsistent formatting or alignment
